Ask Q is the AI assistant built into Q360. This article explains what Ask Q can do, how it keeps your data secure, and how to set it up for your team.

Usage Scenarios
Summarize a Record Before a Meeting
- Sales Opportunity: A sales rep clicks the Ask Q button on a sales opportunity to get a summary of its history, risks, and next steps.
Review Sales Pipeline Health
- Sales Forecast: A sales manager clicks the Ask Q button on the sales forecast report. Ask Q points out slipped close dates, mismatched probabilities, and stalled opportunities.
Clean Up Notes
- Sales Opportunity > Activity: A salesperson quickly enters notes on a sales opportunity activity, then uses Draft with Ask Q to clean them up. Service teams do the same with service call problem and solution descriptions to keep them consistent.
Prerequisites
- Ask Q is available only in Q360 SaaS environments running Q360 version 25 or later.
- Solutions360 must configure Ask Q in your environment. Contact Q360 Support to request Ask Q.
- You must be permitted to use an Ask Q assistant. Otherwise, Ask Q buttons do not appear for you.
- To share data with Ask Q, you must have access to the form, grid, or live data report that holds it.
Overview
Ask Q connects Q360 to an AI agent hosted in a secure Azure environment dedicated to your company. It answers questions using your data and Q360 Help Center documentation, which is refreshed every 24 hours.
Ask Q has no direct connection to your Q360 database. It only sees the data you send it from a form, grid, or live data report you already have access to. A user cannot use Ask Q to see data they are not otherwise permitted to see.
Ask Q offers three assistant types:

How It Works
- Click an Ask Q button, or highlight data in a grid, right-click, and select Ask Q.
- The Ask Q panel opens with a prompt in the input box. Q360 also adds background instructions that you do not see.
- Click Send. Q360 sends the prompts and the data to your company’s Ask Q agent.
- Ask Q returns a response.
- Send follow-up messages to refine the response.
Your chat sessions are private to you. They are stored in your own Q360 database and are only accessible to users permitted to view them.

Assistant Types
Assistant
Click the Ask Q button on a form, grid, or live data report to share its data. To share only part of a grid, highlight the values, right-click, and select Ask Q.
Q360 Help
Set the assistant type in the Ask Q panel to Q360 Help and type your question. Responses include links to related Help Center articles.
To ask about your own data, highlight it in a grid, right-click, select Ask Q, and set the assistant type to Q360 Help. For example, send data from the Project Status report and ask, “Could you explain the difference between projected and actual hours?” Q360 Help answers using the values from your projects.
Draft
Draft works from the field itself, not the Ask Q panel.
- Enter your text in the field.
- Click Draft with Ask Q. The icon appears in the bottom right corner of multi-line fields, usually only in edit mode. On formatted fields, it appears in the HTML formatting bar.
- Review the rewritten text. Ask for further changes if needed.
- Click Keep to replace your original text, or discard the draft to leave your original text unchanged.
Ask Q in Q360 Stride
All three assistant types are available in Q360 Stride, the Q360 mobile app for iOS and Android. Q360 Stride also includes features for technicians:

Admin: Create Your Own Ask Q Articles
Users with the required permission can create Ask Q articles without help from Solutions360 or a developer. Keep the default prompt short and clear, because users see it.
- Open a form or grid that has an Ask Q button.
- Click the Ask Q button.
- Add a new Ask Q article.
- Enter the Description.
- Enter a draft of your instructions and click Enhance with Ask Q.
- Copy the enhanced context prompt into the Context Prompt field.
- Copy the enhanced default prompt into the Default Prompt field.
- Click Save.
- Clear the Q360 cache and reopen the form.
The article now appears on that Ask Q button for all users permitted to use its assistant.
Link a Live Data Report to an Ask Q Article
This advanced option gives Ask Q the results of a live data report in addition to the record being viewed. When a user runs the article, Q360 runs the report in the background using values from that record.
For example, link an article on the service call form to the Call WIP report and pass it the call’s customer number. Ask Q then also sees that customer’s other open calls.
- Open the Anchor form for the anchor that holds the Ask Q article.
- In the Articles grid, locate the row for the Ask Q article.
- Click the Live Data Report column on that row.
- Search for the report by name or report number, and select it. Only reports you are permitted to access appear.
- For each required report filter, select the form field that supplies its value.
- Run a test to confirm the report returns the data you expect.
- Click Save.
If the report fails or returns no data when a user runs the article, Q360 tells them.

Admin: Manage Ask Q Permissions
Permissions are set separately for each assistant type.
- Navigate to Maintenance > AI Config.
- Open the assistant.
- Select the Permissions tab.
- Add the users or groups who should have access.
- Click Save.
Permitted users can use all Ask Q articles linked to that assistant.
