Q360 D-Tools Catalogue Sync
What this does
Pulls products you export from D-Tools System Integrator (Desktop) into Q360 as Masters, using a governed Master Crosswalk so item numbers and types stay consistent. This guide does not cover D-Tools quote import or pricing rules—only catalogue sync.
Who should use this
- Admins who manage item masters and integrations.
- Users with MASTER_VIEW can see the menu; ADMIN is required to open and edit Master Crosswalk. Non-admins will see: “Sorry, you don’t have permission to do that. Requires USER ADMIN.”
Before you start (prerequisites)
- You can log into D-Tools Desktop (System Integrator).
- Q360 API Settings > D-Tools tab is configured.
- A background job exists for Master_SyncRemote and can be run.
- The integration user (often Q360API) has MasterSave_Exec.
One-time configuration in Q360
1) Set the default Item Type for new Masters
- Go to Maintenance > API Configuration > D-Tools tab.
- Use Default ItemType to choose how brand-new imported items will be typed (e.g., “Q”). Changes persist after save.
Notes
- All 8 item types are available.
- Existing Masters keep their original type (the Default only applies to items that don’t yet exist in Q360).
2) Confirm Translation Map guardrails
Still on API Configuration:
- Filter Translation Map to Q360 Object = Master, and Type = Import.
- Verify ExternalRefNo and Manufacturer are Mandatory.
- Model row shows a yellow highlight and warns if you try to rename its Q360 field.
Export products from D-Tools (Desktop)
- In D-Tools, open Catalog > Products.
- Select the products to export.
- Go to Integrations tab > Export.
- Choose Selected, add a name / description, Next, select Q360, then Export.
Tip: You can repeat this any time you add or change products in D-Tools.
Run the Q360 sync
- In Q360, go to Maintenance > Background Job Administration.
- Run the job that executes Master_SyncRemote (SQL Agent job) and wait for completion.
Want more background on jobs (install / uninstall, permissions, notifications)? See Background Job Administration guidance.
Review and manage results in Master Crosswalk
Open the Crosswalk
- Inventory > Admin > Master Crosswalk (ADMIN required to open).
What you should see after a successful import
- New rows added automatically for the items you exported.
- For brand-new items, Q360 creates a unique MasterNo and sets ItemType from your Default ItemType.
- If a Master already exists in Q360 (same Manufacturer / Model) but no Crosswalk row yet, Q360 creates a Crosswalk row with the existing MasterNo and the existing Master’s ItemType (it does not apply the default).
Useful Crosswalk actions
- Find Master (magnifying glass) to link to an existing Master; Add/Delete in edit mode.
- Import Source filter at the top > choose DTOOLS to view only D-Tools rows.
- Extended menu: Change Master No and Update Item Type (for quote-only Masters, type changes behave per platform rules).
Using the Master Import Log
- Inventory > Admin > Master Import Log opens normally.
- Filters available: Master No., Import Source, Manufacturer, Time Period, Start/End Date.
Common validation messages (what they mean & how to fix)
- “Missing values for required fields.”
Appears if Ext_Pk1 or Ext_Pk2 is blank; the row and empty cells highlight in red. Enter both values and save. - “Duplicate ext_pk1 and ext_pk2 pairs.”
You attempted to save a duplicate (Ext_Pk1, Ext_Pk2) combination. Adjust the keys to be unique. - Out of scope: Ext_Pk3 / Ext_Pk4 are ignored (not needed for D-Tools).
FAQs
Q: Do I need ADMIN to view the menus?
A: MASTER_VIEW shows Master Crosswalk and Master Import Log on the menu; ADMIN is required to open and edit the Crosswalk.
Q: Why didn’t my item pick up the Default ItemType?
A: The default only applies when Q360 creates a brand-new Master. If the Master already exists, Q360 keeps its existing type.
Q: Where do I see what was imported and when?
A: Use Master Import Log and filter by Import Source and time period.
Troubleshooting
- No new rows after export:
• Confirm you exported from D-Tools > Integrations > Export > Q360.
• Ensure Master_SyncRemote actually ran to completion (check Background Job log / notifications). - Save errors in Crosswalk:
• Fill both Ext_Pk1 and Ext_Pk2; avoid duplicates. - Can’t open Master Crosswalk:
• You likely don’t have ADMIN; contact your system administrator.
